Choose the Right Custom Napkin Holder for Your Program

A napkin holder is specified by the napkin it has to hold, where it stands and who refills it. Compare napkin format, dispensing action, base weight, cleaning routine and whether these are permanent tabletop fixtures or one campaign.

Countertop Beverage Napkin Dispensers

The bar counter standard. The cavity is cut to a 5 x 5 in folded beverage napkin — around 10 x 10 in open, 2-ply or 3-ply — with 2 to 3 mm of clearance so a full stack does not wedge. Upright or angled bodies let a guest pull one napkin one-handed. Send your napkin spec and we cut the cavity to it.

Tabletop Luncheon & Dinner Napkin Holders

For seated service the cavity moves to a 6.5 x 6.5 in folded luncheon napkin or an 8 x 8 in folded dinner napkin, roughly 13 in and 16 in open. Flat-top and U-frame bodies weight the stack so it stays square on the table. Confirm which fold your caterer buys before tooling; the two sizes do not interchange.

Wooden & Bamboo Napkin Holders

Solid acacia, pine and bamboo give craft taprooms the warm tabletop look that sits alongside wooden flight paddles and serving trays. Laser engraving is cut into the surface, so it is permanent and cannot wash off. Wood gets a dry wipe-down, not a soak, and it is the wrong choice for a beer garden bench that lives outdoors.

Stainless Steel & Galvanized Metal Holders

Stainless, steel and galvanized finishes suit industrial taprooms, brewpubs and beer gardens. Metal takes knocks, wipes down with standard bar sanitizer and survives years of daily service. It is heavier to freight, shows fingerprints, and rings when a glass is set down beside it — worth knowing before you specify it for a quiet dining room.

Acrylic & Injection-Molded Clear Holders

Clear acrylic or molded PS reads modern, shows the napkin stack and keeps unit cost low at volume. Injection molding holds cavity tolerances to a few tenths of a millimeter across thousands of pieces, which matters when every outlet buys the same napkin. Keep clear bodies out of permanent sun; they haze.

Weighted & Clamp-On Outdoor Holders

For patios, beer gardens and festival tables. A weighted base, a low center of gravity or a table clamp keeps a loaded holder standing, and a spring-loaded top arm holds the stack down when the wind lifts loose napkins. Above roughly 15 mph of wind, loose napkins still travel.

Napkin Holder Branding and Customization

The right logo method depends on the holder material, how closely the mark is seen, how often the holder is wiped and how long the campaign has to last. We review the holder and the artwork together before sampling.

Laser Engraving

Engraving burns the mark into wood or bamboo — permanent, tactile and impossible to wipe off. Contrast depends on the timber: pale pine and bamboo give strong definition, dark acacia reads subtly. Single-tone only, no brand color, and fine hairline type below about 1.5 mm closes up on open-grain species.

Screen Printing & Pad Printing

A practical route for bold brewery marks, campaign lines and repeat promotional orders. Screen printing suits flat faces; pad printing reaches slight curves and recessed panels. Ink system, color count, print position and cure are matched to the holder material and cleaning routine.

UV & Full-Color Printing

Use when the artwork needs gradients, photography, fine text or edge-to-edge coverage. On compatible surfaces the print is cured and can sit beneath a protective clear layer. Approve a physical color proof on an actual holder, and set the care instruction off it — never off a screen image alone.

Debossed, Embossed & Molded-In Logos

Raised or recessed marks pressed into leather-look PU or molded directly into plastic. Bold shapes translate well; very fine lines, small text and gradients lose definition. Best when the holder should feel branded rather than printed, and when the same tooling will run for several campaigns.

Etched & Printed Metal Badge Plates

A stainless or brass plate, etched or printed, then riveted, screwed or bonded to the holder body. The right call when one holder body has to serve several brands or seasonal campaigns — swap the plate, keep the unit. Skip it where the plate sits inside a napkin cavity and catches the stack.

Decide the Napkin Before the Holder

Most napkin holder failures are dimensional, not visual. What napkin does it hold? A 5 x 5 in folded beverage napkin, a 6.5 x 6.5 in luncheon and an 8 x 8 in dinner napkin are three different cavities, and ply count changes the stack height — a 3-ply napkin fills the same cavity with around half the number of pieces. Does one hand have to pull one napkin, or is a flat stack enough? Counter service needs an upright cavity with a thumb notch. Indoor or outdoor? A light acrylic holder on a patio table goes over in the wind, so move to a weighted base, a clamp or a lidded body. How is it cleaned? Bar sanitizer on a printed acrylic face is fine; abrasive pads are not, and bare wood takes a dry cloth only. And who refills it — top-load bodies refill faster mid-service than rear-load ones.

Accurate Quote

What to Send for an Accurate Quote and a Realistic Delivery Date

Buyers who get accurate quotes fast send the same five things every time: napkin format with folded dimensions and ply, holder material preference if they have one, quantity per design, artwork file or at least a reference image, and destination port. What moves your unit price most is material grade, wall thickness or board size, logo method, number of colors, whether the shape needs new tooling, packing method, and quantity per design — splitting one order into six artwork versions costs more than doubling the volume of each. Plan the campaign backward from the activation date: roughly seven days for a physical sample and twenty-five to thirty-five days for bulk, before ocean freight or trucking to your warehouse. Holders are light but bulky, so freight is usually charged on volume, not weight.

Frequently Asked Questions About Custom Napkin Holders

Most programs start from 300 pieces per design for wooden and bamboo holders, 500 pieces for acrylic and injection-molded bodies, and 1,000 pieces where a metal badge plate or a new mold is involved. Stock blanks with decoration only are available below standard MOQ.

Typical projects fall between USD 2.50 and 14 per holder. Material, cavity size, logo method, color count, tooling and packing all move the number. We tell you which part of your design is driving the cost before you commit to anything.

Yes. Sampling takes approximately seven days. Load the sample with your own napkins, refill it the way your staff will during service, and run it through your wipe-down routine before you approve the bulk run.

Engraving is permanent — it is cut into the material. Printed and transferred logos are matched to your cleaning routine and tested before release. Avoid abrasive pads on printed acrylic, and keep bare wood to a dry cloth rather than a wet soak.

Will your holder fit the napkins we already buy?

Yes, and confirm this first. Send the folded size, open size and ply of your napkin, or a physical sample, and the cavity is cut with 2 to 3 mm of clearance. Changing napkin supplier later means re-cutting or re-tooling, which is an avoidable cost.

A physical sample takes about seven days and bulk production twenty-five to thirty-five days. We ship from China to Europe, the Americas, the UK, Australia and Japan by sea, air or rail, with consolidation for mixed POSM orders.
